    Florists

Yes. These five guides take you from creating your account through to sending your first order to a wholesaler.

How to signup and send your first order

Read all five on one page
    1. Step 1 of 5

      Create a Florist Account

Set up your StemCounts florist account, from signup through to verifying your mobile. It takes about a minute.

      1. Go to app.stemcounts.com and choose Create an account.
      2. Select Florist as your account type.
      3. Enter your details, including the mobile number you want to verify with.
      4. Set a password and create the account.
      5. Enter the one-time PIN we text you, then verify.
    2. Step 2 of 5

Add an Order and a New Event

An Order is your basket for the week. Events sit inside it, one for each wedding, funeral or party. This covers creating both.

      1. Open the Orders panel from your landing page.
      2. Find the week you need and choose Add Order.
      3. Choose Add Event for the day the flowers are needed.
      4. Name the Event, set its date and add the location. The Event date is not the delivery date.
      5. Choose Add and Edit to open the Event and start adding Arrangements.
    3. Step 3 of 5

Add Arrangements and Flowers to an Order

Build out the Arrangements for an Event, then pick the flowers that go into them. You can search by name or category, or filter the library by colour.

      1. Open the Event you want to build out.
      2. Choose Add Arrangement, then name each one and set its quantity and budget per item, ex GST.
      3. Choose Pick Flowers to open the flower library.
      4. Search by name or category, or filter by colour to find matching stems.
      5. Click the colour on a flower card to add that stem. Click it again to remove it.
      6. Choose Add Selections to add them to the Order.
    4. Step 4 of 5

Add an Event to the Weekly Order

Before an Event can join the weekly Order, every flower has to round to whole bunches. This covers clearing the unrounded stems and sending the Event through.

      1. Open the Unrounded Bunches table on the Event.
      2. Use the minus control to take stems out of an Arrangement, or the plus control to buy up to a full bunch.
      3. Stems left over from rounding up land in the Spares bucket.
      4. Once everything has rounded, choose Add to Weekly Order.
      5. You will land back on the Weekly Order page, showing every Event for that week.
    5. Step 5 of 5

Set a Delivery Date and Send an Order

Set the delivery or pickup date, choose who is supplying, then send the week's Order to your wholesaler.

      1. Open the Weekly Order Details page once all your Events are added.
      2. Choose the delivery or pickup date.
      3. Pick your wholesaler for the whole Order from the drop down.
      4. If a particular stem needs a different supplier, override the wholesaler at the flower level.
      5. Send the Order. Any notes you left go through with it, and you will get a confirmation.

Navigate to the Orders page and select the week you want to create an order for. Click on the calendar week, choose between Retail or Event order type. Once added click on it to add arrangements then add your stems.

    Step by step

    2. Name the Event and set its date.
    3. Add the Event location.
    4. Choose Add to Order.

Retail orders are for regular inventory for walk-in customers and daily sales. Event orders are for specific arrangements for weddings, corporate events, and special occasions. Each type has different workflows and pricing structures.

Select the Pick Flowers button within the individual arrangement bucket - this will add flowers just to this arrangement.

To add an arrangement to your order, click the Add Arrangement button within your order. Give your arrangement a name and set the budget if needed. Once created, you can start adding flowers to it using the Pick Flowers button.

    Step by step

    Step by step

Pick Flowers and Add Them to an Order

The flower library shows cost per bunch and how many stems are in each bunch. Filter by colour or category to find what suits the design.

    1. Choose Pick Flowers from the Arrangement.
    2. Filter by colour or category, or search by name.
    3. Hover over a stem to see its full details.
    4. Click the colour of a stem to add it to your bucket.
    5. Choose Add Selections once you have everything.

To add more stems to an existing arrangement, open the arrangement bucket and click the Pick Flowers button. You can then increase the quantity for any flower type already in your arrangement, or add new flower types. The system will automatically update your totals and spares bucket.

    Step by step

Add or Remove Stems in an Arrangement

Adjust the stem counts on an Arrangement you have already built.

    1. Open the Event Details page.
    2. Use the up and down arrows beside a stem to change how many you need.
    3. Use the x beside a stem to take it out of the Arrangement altogether.

Yes! When viewing an arrangement, use the duplicate feature. Click the 3 dots then there is an option to clone - you can also delete from here. Once you have duplicated you can change the name and budget and quantity simply by clicking.

    Step by step

    Clone or Delete an Arrangement

Duplicate an Arrangement when you need several that are nearly the same, or remove one you no longer want.

    1. Choose the three dots on the Arrangement bucket.
    2. Choose Clone to duplicate it, then rename the copy.
    3. To remove one, choose the three dots then the Delete icon.
    4. Confirm when the platform asks.

The Spares Bucket tracks leftover stems from bunch purchases. Flowers are sold in bunches (for example, 10 stems per bunch), but your designs might need odd numbers like 23 roses.

Since you cannot buy 2.3 bunches, you purchase 3 bunches (30 stems total). Your design uses 23 stems, and 7 stems automatically go into the Spares Bucket. Our Magic Calculator shows you these leftovers and suggests smart adjustments.

Example: You have 26 stems of Andromeda, and they come in bunches of 5. You can make 5 full bunches (5 × 5 = 25) with 1 stem left over, which goes into the Spares Bucket.

If you want to make 6 bunches, you would need 30 stems, so you are 4 stems short.

In simple terms: You can make 5 bunches with 1 leftover, or you are 4 stems short of making 6 bunches.

    Step by step

    Smart Bunch Calculations and Spares

Flowers are sold in whole bunches, but designs rarely need round numbers. This explains how StemCounts rounds your stems and what ends up in the Spares bucket.

    1. Each flower shows how far it sits from a whole bunch, for example -1 or +4.
    2. A minus figure means removing that many stems clears the bunch. You choose which Arrangement they come out of.
    3. A plus figure means buying the rest of the bunch. Those extra stems go to the Spares bucket.
    4. When Overflow reaches zero the flower has rounded, and it moves to the Rounded Bunches table.
    5. Once every flower has rounded, the Event can be added to the weekly Order.

Each order part shows a budget overview with spent vs. remaining amounts. The budget tracker automatically calculates costs as you add flowers to arrangements, The Total Budget for the Event is to the top Right of the Arrangements Page

Once sent, your order goes to the wholesaler for review. You can track its status in the Orders page through these stages: Received → Accepted → Confirmed → Substitute → Ready for dispatch → Out for Delivery → Delivered. You'll receive notifications at each stage. Blue tiles and features indicate a SENT order.

    Always use the Customer price.

    Wholesalers

Go to the "Receive & Accept" page to see all incoming orders from florists. Orders are organized by week and delivery date. You can review order details, flower quantities, and special requests before accepting.

After accepting orders, use "Assign and Send" to allocate orders to specific delivery routes or teams, set pick times, and confirm delivery schedules. You can batch multiple florist orders into single delivery runs for efficiency.

When reviewing orders, you can mark specific flowers as unavailable or suggest substitutions. The system will notify the florist, who can then approve the substitution or modify their order accordingly.

Yes! The system automatically aggregates all flower quantities across accepted orders for each delivery date You can select your own date for arrival

In the "Confirmed and Ready" section, you can mark orders as prepared and ready. This sends a notification to the florist and updates the delivery status.

    Finances

Flower pricing is based on your wholesaler's rates. The prices in the Flower Library are an average indicator price for budgeting.

You can set markup percentages to automatically calculate customer pricing. The system tracks cost vs. selling price to show profit margins. Stem Counts has a small agent fee. This fee is already included in the Flower Picker which means the fee is passed on to the customer

On the "Orders" page, each week displays total spending across all orders.

The Page "Weekly Order Details" shows you the total spend for that week

You can view spending by Customer vs. Wholesale and by individual order parts within the weekly summary by clicking on the Event name

Each event order part has a budget field where you set the client's budget. As you add flowers and arrangements, the system shows spent amount, remaining budget, and profit margin. You'll see warnings if you're approaching or exceeding the budget.

Currently in development - however we will be able to export weekly summaries, order details, and spending reports. These reports include itemized flower costs, markup calculations, and profit margins for accounting and client invoicing purposes.

Industry standard retail markup for flowers is typically 2.5x to 3.5x wholesale cost (150%-250% markup). The system allows you to set custom markup percentages per order. The program has it automatically set at 200%

Wholesalers update their pricing in the system, which automatically reflects in the flower library. Florists see current wholesale prices when building orders. Historical orders retain the pricing from when they were created.
